Email Provider LookUp, or Email Provider Detection, is a comprehensive feature that provides businesses with valuable insights into the email service providers (ESPs) used by their contacts.
This ESP information is invaluable in building a positive sender reputation and improving your email outreach strategies.
Uptics offers three distinct features around Email Provider LookUp: Bulk Email Provider LookUp, Email Provider LookUp Sequences, and Automated Email Provider LookUp.
This article will cover the following:
What is Email Provider LookUp?
Email Provider LookUp is a process and feature in Uptics that allows users to identify the ESPs used by their contacts, and it involves determining which ESP handles the delivery and management of an email address's messages.
By utilizing Email Provider LookUp, businesses can gain insights into the technological infrastructure supporting their contacts' email accounts, and enables businesses to optimize their email marketing strategies, customize content, and improve deliverability by aligning their campaigns with specific ESP requirements and capabilities.
Email Provider LookUp provides valuable data for enhancing outreach efforts and maximizing the effectiveness of email campaigns.
Why is Email Provider LookUp Important?
By identifying the email providers of your Contacts and then aligning your outreach with the same email service provider on your end, you can significantly help with your deliverability.
This is the most important advantage of utilizing Email Provider LookUp and it will drastically improve your chances of landing in the inbox.
For example, if a segment of your prospecting list uses Microsoft, then ideally you would reach out to those prospects from a Microsoft account on your end.
In addition to aligning your outreach with the same email service provider on your end, Email Provider LookUp is important for several other reasons as outlined below.
Building a Positive Sender Reputation
When you consistently send emails from the same email provider, you establish a positive reputation with that provider. This can improve your sender score, which is a measure of how trustworthy and legitimate your emails appear to be. A higher sender score can increase your chances of avoiding spam filters and reaching your recipients' inboxes.
Reducing the Risk of Spoofing
When you send emails from different email providers, it can be more difficult for spam filters to determine if the email is legitimate or not. This is because spammers often use a technique called "spoofing" where they forge the email header to make it appear as if it's coming from a different email provider. By sending emails to and from the same email provider, you can reduce the risk of spoofing and improve your chances of getting your emails delivered.
Helping with Authentication
Email authentication methods like SPF, DKIM, and DMARC are used to verify that an email message is actually sent by the domain it claims to be from. By sending emails to and from the same email provider, you can simplify the authentication process and make it easier for your emails to pass through spam filters.
Customizing Email Content
Different email service providers may have specific formatting requirements or support advanced features. By knowing which ESPs your contacts use, you can tailor your email content and design to better align with their preferences and capabilities. This customization increases the chances of your emails engaging recipients and yielding better results.
Optimizing Deliverability
Each ESP has its own rules and standards for email deliverability. By identifying the ESPs of your contacts, you can optimize your email settings, such as SPF, DKIM, and DMARC records, to align with their specific requirements. This improves your chances of landing in recipients' inboxes, avoiding spam folders, and reducing the risk of being flagged as suspicious or blocked by ESP filters.
Enhanced Personalization
Different ESPs offer various personalization features and dynamic content capabilities. By identifying the email service providers used by your contacts, you can leverage this knowledge to implement personalized content effectively. This personalization creates a more tailored and engaging experience for recipients, boosting the likelihood of positive responses and conversions.
Efficient Campaign Management
Knowing which ESPs are prevalent among your target audience provides insights into their technical expertise and data management practices. This knowledge allows you to segment and manage your email campaigns more effectively. It assists in making data-driven decisions for automation workflows, A/B testing, and optimizing email sending schedules, resulting in improved campaign performance and efficiency.
Monitoring Performance and Analysis
Email Provider LookUp helps you monitor and analyze the performance of your email campaigns across different email service providers. By comparing metrics such as opens, clicks, replies, and sends for various ESPs, you can gain insights into which providers are delivering better results. This information allows you to make informed decisions and optimize your email marketing strategies accordingly.
How to use the different Email Provider LookUp Features?
Uptics provides users with three powerful Email Provider LookUp features to help improve your deliverability and provide insights into your contact lists ESPs:
Bulk Email Provider LookUp
Bulk Email Provider LookUp allows users to identify the ESPs associated with a large number of contacts at once.
Once you have identified the email providers, you will be able to use this data to segment the leads you wish to send to based on their ESP.
Bulk Email Provider LookUp can be performed by taking the following steps:
Select the desired records from any Contact List page by using the checkboxes on the left side of the page.
Narrow down the list by applying filters or selecting an existing SmartList.
Click on "Select All" on the left side of the blue Bulk Action Banner.
Choose the "Email Provider LookUp" action.
Enter the number of records you want to look up the email providers for.
Click the "Submit" button.
Once the bulk action has been completed, you will receive an in-app notification in the upper right-hand corner that the bulk action has been completed.

Email Provider LookUp Sequences (Find MX)
Email Provider LookUp Sequences enable you to automate the email provider lookup process within your sequences by utilizing the Find MX sequence step inside the sequence builder. This can be helpful if you are looking to run these checks prior to segmenting your leads into different sequences based on the ESPs they have.
To utilize the Email Provider LookUp Sequences (Find MX) feature:
Begin by either creating a new sequence, or going into an existing sequence, and proceed to the Sequence Steps and Builder page.
Click the plus sign to add a new step.
Click on "Workflows."
Select "Find MX," and the Email Provider lookups will occur as your contacts enter the sequence based on your Sequence Settings.
By saving filters as a smartlist, you can automatically enroll contacts into a sequence that includes an email provider lookup step before initiating outreach. This streamlines the workflow and eliminates the need for manual bulk email provider lookup.
You can use the workflow step as a freestanding sequence and subsequently enroll only those prospects using specific email provider into subsequent live campaigns. Or, you can set an auto-unenrollment smartlist filter to exclude contacts outside the desired email providers for a particular sequence as well and allow your contacts to only continue if they match certain criteria.
Automated Email Provider LookUp
Uptics' Automated Email Provider LookUp feature provides real-time email provider information for your sequence recipients, and there is nothing you need to do or activate for this to occur.
Whether or not you have checked for the Email Provider prior to enrolling your contacts into any sequence, when the first email send occurs, Uptics will run a check on each recipient's email provider, and display that data on the stats page of the sequence.
To utilize the Automated Email Provider LookUp feature:
Launch any sequence with an email step inside of your Uptics account.
Once sends begin, you can access the Email Provider Stats for each specific sequence under the Sequence Stats page.
This functionality allows you to compare performance metrics such as opens, clicks, replies and sends across different email providers.
By analyzing these insights, you can determine which providers are delivering better results.
Additionally, you can use filters to compare stats across different sender inboxes and providers to evaluate your email campaign's effectiveness. When this automated lookup runs through your sequences, the Email Provider field will also be filled out for each contact. This field can be used as a search filter for SmartLists on your list pages for any other workflows you may be looking to set up.
How can I check the Email Providers of my Contact Records?
There are many ways you can check the Email Provider LookUp results of your contact records within Uptics:
